The Intake Department is one of the most important departments in Call Axis. We often refer to this department as our “front line,” as they handle all inquiries while providing the highest quality customer service to our guests and therapists, as well as other companies and medical facilities.

Definition of Customer Service Representative

Must have excellent verbal and written communication skills, as they are in constant interaction with fellow team members, guests, therapists, other departments, and other organizations. An Intake Coordinator is also required to have excellent time management skills, be able to work independently, and be able to perform under pressure, as some requests require immediate attention.

Administrative tasks and daily responsibilities of CSR: Brief Description

A CSR is often the first point of contact for new or current guests looking for mental health services. First and foremost, it is required that the CSR is compassionate, supportive and helpful.
is responsible for answering the phone calls, emails & texts
Benefit verification and monitoring of medical records
training team members on various portals and systems
is responsible for collecting general information from the guest, such as demographic and insurance/EAP information, as well as their concerns and reasons for seeking services. Then, must enter this information into the organization’s electronic medical systems. By collecting the information above, the Intake Coordinator, along with the help of a team leader, matches the guest with the right therapist to meet their needs.
is often the connecting link between guests, therapists and other companies with the correct department. Therefore, communication is a cornerstone of the job.

Essential Information on Position

Entry level position
Strong planning and organizational skills
Ability to influence others and build consensus using good written and verbal communication skills
Ability to work independently, multi-task, and prioritize
Flexible, adaptable, detail-oriented and self-motivated
Customer service and detail-oriented
Proficient in Google Drive
Able to respond effectively to changes in processing, operational flow of business systems, or information maintained by company for their clients.
Experience Requirements
3-5 years of office management, administrative support, clerical, data entry, or related experience
Education Requirements
- High School diploma or equivalent - Associate’s degree preferred

Position level Entry Level CSR:

Under the direction of the Team Leader and Manager, the Intake Coordinator supports the clients of Call Axis by answering phone calls, emails and texts for Call Axis accounts. This position reports to the Team Leader as well as Manager.
